Our client is a Family and Sports Medicine Clinic that has built a reputation for staying on the cutting edge of technology. It is a two physicians practice. Their mission is to create a warm, friendly, and family oriented environment. They work hard to offer their patients the highest quality of care available.
Challenge:
At the practice where the physicians used paper charts. They required two rooms filled with folders and cabinets. The doctors and staff spent a lot of time finding charts, dealing with lost charts, and watching papers rip out. It was chaos. They realized that they wanted an automation and electronic filing system. But they worried about flexibility, cost and support for the system they looked for. The biggest fear they had, looking at the multitude of systems out there, was that they would be left on their own, lost and without help.
Solution:
MidTech worked with the doctors to understand their pain points. We designed a office automation solution specific to meet their filling requirements. The team purchased and implemented a Microsoft Small Business server and setup network connectivity with existing desktops and security. Since Microsoft Windows SharePoint Service (WSS) is a part of the SBS server and free of license charge, we installed WSS and configure the application architecture the way the doctors and staff wanted on WSS. The server immediately become the electronic filing system that allow the practice to upload, scan and import from reading devices their files of patient folders and papers. During post implementation, the MidTech team assists the staff of the practice to use new application, and support them through stabilization. When calling for help, MidTech support team responded quickly and showed up on site immediately to resolve the issues.
Result:
The centralized WSS document portal helps reducing from workload for paper file from average of 25 work hours per week to only 4 hours. While saving big in cost, the client is able be much more efficient to retrieve patience records and files. Integration to printer and scanner helps doctor quickly view the results of lab inside the room. Our prompt support from MidTech makes the physicians and staff a big satisfaction.
